This Privacy Policy explains how Resume Tailor Agent (“Resume Tailor Agent,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information when you use our website at resumetailoragent.ai, our browser extension, and related services (together, the “Services”). It also describes the choices and rights you have regarding your information. By using the Services, you agree to the practices described in this Policy. If you do not agree, please do not use the Services.
Our privacy commitments
- We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
- We do not use your information to assess creditworthiness or for lending decisions.
- We do not use your resume or job-search activity to train third-party AI models.
- Passwords and credential fields are never included in prompts sent to AI providers.
- The parsing that reads your uploaded resume to pre-fill your profile is performed locally, in your browser, and transmits nothing.
1. Overview
Resume Tailor Agent helps job seekers tailor their resume to a specific job posting and, at the user's direction, complete the resulting job application. We have designed the Services to collect only the information needed to provide these features, consistent with the commitments stated above.
2. Scope
This Policy applies to personal information we process as a controller in connection with the Services. It does not apply to third-party websites, applicant tracking systems, or employer career portals that you visit or apply to, which are governed by their own privacy policies. We encourage you to review the privacy practices of any third party before providing information to it.
3. Information We Collect
We collect the categories of personal information described below.
3.1 Information you provide to us
- Account information. When you create an account, we collect your email address and authentication credentials. Authentication is managed by our identity provider.
- Resume and profile information. When you upload a resume, we process the document and the information it contains, which typically includes your name, contact details, links, work history, education, and skills. You may also add to or correct this information directly.
- Job and application information. When you choose to tailor your resume or apply to a role, we process the job posting you selected (such as the job title, company, and description) and a record of the tailored resumes you generate and the applications you submit.
- Job portal account password. Some employer portals require you to create an account before they will display the application form. So that the extension can create and re-use that account on your behalf, you may save a password in your Auto Apply profile; it is stored in your account and is re-used across employer portals. This is intended to be a throwaway credential created only for job portals — the profile screen warns you never to re-use your email, banking, or other personal passwords, and offers to generate a strong random one for you. We use it for no purpose other than signing you in to the employer portals you choose to apply through, it is never included in any prompt sent to an AI model, and you can clear it at any time by emptying that field in your profile.
- Communications. If you contact us for support or feedback, we collect the information you provide in those communications.
3.2 Information collected automatically
- Usage and device information. When you use the Services, we may collect limited technical information such as browser type, operating system, general device information, and product usage events, which we use to operate, secure, and improve the Services.
- Log and diagnostic data. We generate technical logs to keep automated application-filling reliable and to diagnose errors. We take measures to keep these logs free of sensitive field values.
3.3 Information relating to the browser extension
The browser extension reads the content of a web page only after you take an action — for example, when you click to tailor your resume for the job you are viewing, or when you start an automated application. The extension does not run in the background collecting your browsing history, and it does not read pages you have not directed it to act on.
3.4 Information from third parties
If you choose to connect an optional integration, such as Google Drive, we receive the limited information necessary to provide that feature (for example, authorization to save your resume files to a folder you select). We access only what the integration requires and only for the purpose you enable it for.
4. How We Use Your Information
We use personal information for the following purposes:
- To provide, maintain, and operate the Services, including tailoring resumes to job postings and completing applications at your direction;
- To create and secure your account and authenticate you;
- To generate resume match scores and application records and make them available to you;
- To respond to your requests and provide customer support;
- To monitor, troubleshoot, secure, and improve the Services, including preventing fraud and abuse;
- To comply with legal obligations and enforce our terms.
We do not use your personal information for purposes that are incompatible with those described in this Policy without providing you notice and, where required, obtaining your consent.
5. Artificial Intelligence Processing
To tailor resumes and calculate match scores, we transmit the relevant content — your resume text and the job description — to third-party AI providers that act as our processors (“subprocessors”) under contractual terms. These terms prohibit the providers from using your content to train their models. We send only the information necessary to perform the requested task, and password and credential fields are filtered out before any AI request and are never included in AI prompts.
Certain advanced settings allow a technically capable user to route AI processing through their own provider account. This option is disabled by default; if you enable it, the associated processing is governed by the terms of the provider you configure.
6. How We Disclose Your Information
We do not sell your personal information. We disclose personal information only in the following circumstances:
- At your direction. When you use the Services to apply for a job, the profile information you choose to submit is entered into the employer's or applicant tracking system's application form, as you have instructed.
- Legal and safety. We may disclose information where required to comply with applicable law, regulation, legal process, or governmental request, or where necessary to protect the rights, property, or safety of Resume Tailor Agent, our users, or others.
- With your consent. We may share information for other purposes with your consent.
7. Legal Bases for Processing (EEA and UK)
If you are located in the European Economic Area or the United Kingdom, we process personal information on the following legal bases: performance of a contract with you (to provide the Services you request); your consent (for example, optional integrations, which you may withdraw at any time); our legitimate interests (such as securing and improving the Services), balanced against your rights; and compliance with legal obligations.
8. Data Retention
We retain personal information for as long as your account is active or as needed to provide the Services, and thereafter as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. Technical logs are retained for a limited period for reliability and security and are then deleted. When you delete your account, we delete or de-identify the associated personal information within a commercially reasonable period, except where retention is required by law.
9. Your Rights and Choices
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access and portability — to obtain a copy of the personal information we hold about you;
- Correction — to correct inaccurate or incomplete information;
- Deletion — to request that we delete your personal information;
- Restriction and objection — to restrict or object to certain processing;
- Withdrawal of consent — to withdraw consent where processing is based on consent.
You can access and update much of your profile information directly within the Services, delete individual resumes and applications, disconnect optional integrations at any time, and delete your account. 9.1 Additional information for California residents
Under the California Consumer Privacy Act, as amended (the “CCPA/CPRA”), California residents have the right to know the categories and specific pieces of personal information we collect, the right to delete and to correct their personal information, and the right to opt out of the sale or sharing of personal information. We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. The categories of personal information we collect are described in Section 3 and include identifiers (such as name and email), professional and employment information (such as your resume and work history), internet or network activity limited to pages you direct the extension to act on, and inferences drawn to provide the Services (such as resume match scores). You may exercise your rights as described above, and you may designate an authorized agent to make a request on your behalf.
10. International Data Transfers
We are based in, and process personal information in, the United States, and we may process information in other countries where we or our service providers operate. These countries may have data-protection laws that differ from those in your country. Where required, we implement appropriate safeguards for international transfers, such as the European Commission's Standard Contractual Clauses.
11. Security
We maintain administrative, technical, and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These include encryption of data in transit, access controls, and restrictions that limit access to authorized personnel. No method of transmission or storage is completely secure, and we cannot guarantee absolute security; however, we work continually to protect your information and to limit the information we collect.
12. Children's Privacy
The Services are intended for individuals who are at least 16 years old and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it.
13. Third-Party Links and Services
The Services may contain links to, or interact with, third-party websites and applications, including job boards, applicant tracking systems, and employer career portals. We are not responsible for the privacy practices of those third parties, and this Policy does not apply to them. We encourage you to review their privacy policies.
15. Chrome Web Store Disclosure
Our use of information received through Google APIs and the Chrome Web Store adheres to the Chrome Web Store User Data Policy, including its Limited Use requirements. We use such information solely to provide and improve the single purpose of the extension — tailoring resumes to job postings and completing applications at the user's direction — and we do not transfer or use it for unrelated purposes, advertising, or creditworthiness determinations.
16. Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice through the Services. Your continued use of the Services after an update constitutes your acceptance of the revised Policy.
